Guidelines for Oral Presenters

This information is provided to prepare you for your oral presentation at BotryScleroMoni2025.

Keynote and Invited oral presentations must last no more than a maximum of 23-25 minutes to allow for 7-5 minutes for questions, and a handover to the next speaker, within each 30 minutes slot.

Regular oral presentations must last no more than a maximum of 12 minutes to allow for 3 minutes for questions, and a handover to the next speaker, within each 15 minutes slot.

Session chairs will keep strict time and will terminate any presentation that goes beyond the allowed time. This is essential, in order to keep the program on time.

  • Presentations should be conducted in English.
  • We strongly recommend that slides are prepared in PowerPoint. Other software packages are acceptable as long as the presentation is a PDF and saved in landscape orientation and complies with the widescreen (16:9) format.
  • There is no requirement to submit your presentation ahead of time. All presentations must be brought to the congress venue on a USB-key and uploaded with the technicians in the Conference room. We ask that you do this at least 4 hours before your presentation is due to take place, in order for your slides to be formatted correctly by the audio-visual team.
  • Oral presenters of the first morning session of each day should upload their presentation at the closing of the previous day.
  • Please note technicians cannot upload presentations during sessions, so presenters should upload during breaks and lunchtimes only.
  • Please arrive in your room at least 15 minutes before your session is due to start to meet your chairpersons, room manager and ensure your presentation is loaded in the room.
  • Presenters must use the computer provided by the conference center: it is not possibleto present from a personal computer.
  • All presentations will be managed by the venue technicians in the room you are presenting in.
  • The Conference room will be equipped with a laptop PC, a LCD projector, microphones and a laser pointer.
  • Presentations should be conducted in English.

  • While complimentary wi-fi is available through-out the venue, we suggest that presenters should not rely on internet access during their presentation. Therefore, we recommend to embed all fonts and media within the presentation file, to not use Google Slides and do not rely on online materials, media, web pages, live demos, etc.

Tips for visuals

  • Use a sans-serif font, such as Calibri, Cambria, Arial, Tahoma or Verdana, and make sure your presentation is in 16:9 PowerPoint format.
  • Consider carefully the choice of your background and the color of your text: both should facilitate reading.
  • Use a font size of at least 18, so that it is big enough to be read from a distance.
  • Do not include too much text on your slides (no more than 7 lines is recommended). It may be difficult for participants whose first language is not English to read quickly.
  • Adjust the number of slides according to the time available for your presentation. As a guide, no more than 1 slide per minute of presentation is recommended.
  • Whenever possible, use an image or diagram to make a point or explain a concept. In general, all language groups understand images more easily.
  • Avoid excessive use of animation and complicated slide transitions. These can be distracting and extend the time needed to deliver your presentation.
  • Keep your presentation slides simple and clear. If you are using moving pictures/videos, double-check the functionality in the lecture room prior to your presentation.
  • Presentations should include bibliographical references for further information on the topic. If you are using other people’s material, it should be appropriately acknowledged.
  • Make sure that the last line of text on your slide is not too close to the bottom of the slide. Otherwise, participants may have difficulty reading it.
  • Do not forget to spell check your slides before presenting them.

Tips for speaking

  • Keep in mind that the first language of most of the delegates in your audience will not be English. Speak slowly and clearly. Speak loud enough and close to the microphone.
  • Use supporting visuals (e.g., PowerPoint presentation) whenever possible. This helps your audience to fill in comprehension gaps.
  • We recommend that you do not read from your manuscript.
  • Do not exceed the allocated presentation time. We suggest that attempt to keep your presentation 5 minutes shorter than requested in order to allow time for audience interaction.
